  • Transaction data — details of payments made to us, processed by Stripe
  • Communications data — messages sent via our contact form
  • Technical data — IP address and browser information collected automatically when you use our website

5. How Long We Keep Your Data

We retain your data for as long as necessary to fulfil the purpose for which it was collected:

  • Claim data and documents — retained for 7 years from the date of your order, to comply with our legal and contractual obligations
  • Payment records — retained for 7 years in accordance with HMRC requirements
  • Contact form messages — retained for 2 years

Where your claim has resolved and the retention period has passed, we will securely delete your personal data.

6. Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the following rights:

  • Right of access — request a copy of the personal data we hold about you
  • Right to rectification — request correction of inaccurate data
  • Right to erasure — request deletion of your data (subject to our legal retention obligations)
  • Right to restrict processing — request that we limit how we use your data

We would, however, appreciate the opportunity to address your concerns before you contact the ICO — please email us first.

9. User Responsibilities — Accuracy of Information & Dates

You are solely responsible for the accuracy of all information, figures, and dates you enter into the Payless Claims service. This includes, but is not limited to:

  • Application dates and payment application reference numbers
  • Contract start and end dates and last working dates
  • Amounts applied for, amounts paid, and deduction figures
  • Contractor names, addresses, and contact details
  • Any other dates, periods, or figures used in the preparation of your documents

All documents, letters, and notices generated by Payless Claims are produced entirely on the basis of the information you supply. Before any document is sent or served, you will be given the opportunity to review its contents. By proceeding to send or serve any document, you confirm that you have reviewed it and that all information contained within it is accurate and correct to the best of your knowledge.

Payless Claims accepts no liability whatsoever for any loss, damage, failed claim, invalid notice, procedural error, or adverse outcome arising from inaccurate, incomplete, or incorrect information, figures, or dates entered by the user. This includes, without limitation, any claim that fails or is rendered invalid because an application date, notice period, or statutory deadline was incorrectly stated in the information provided to us.

If you are uncertain about any date or figure, we strongly recommend that you verify it against your original contract, payment applications, bank records, or other primary source documents before submitting your claim. If you require assistance verifying your figures, our Assisted Service includes full document analysis for this purpose.

10. Changes to This Policy

We may update this policy from time to time. The date at the top of this page shows when it was last revised. Continued use of our service after any change constitutes acceptance of the updated policy.
